# Close Workpaper

> Prepare, review and lock a month-end, quarter-end or year-end period

## Overview

Close Workpaper brings the controlled record for a reporting period into one place. Use it for month-end, quarter-end, year-end or a custom period when you need a clear view of what is ready, what still needs attention and who is responsible for sign-off.

Open **Finance** from the **Workspace** section of the main menu, then select **Close workpaper**. Select **Close** instead when you only need the live period overview.

## Create a close period

Choose **New period**, then enter:

* A clear period name, such as **June 2026 month-end**.
* The start and end dates.
* A preparer who will complete the close checks.
* A different reviewer who will provide independent review.

You can create more than one period and switch between them using the period selector at the top of the page.

## Work through the readiness checks

The workspace checks the selected dates and shows whether each area is ready:

* Reconciliations that still need review.
* Missing, incomplete or older portfolio values.
* Transactions without supporting documents.
* Proposed changes waiting for approval.
* Tax workpapers that have not been reviewed.
* Open tasks created for this close period.
* Report packs available for final reporting.
* Changes made after the period was locked.

Select a check to open the relevant InvestSync page and complete the work. Return to Close Workpaper and choose **Refresh** to run the checks again.

## Use preparer and reviewer sign-off

The preparer can sign off after every readiness check is clear. The assigned reviewer can sign off after the preparer.

The preparer and reviewer must be different people. This separation helps keep responsibility clear for internal and external review.

## Record adjusting journals

Use **Add journal** to record an adjustment that needs to be handed to the accounting file. Enter the journal name, debit account, credit account and amount.

If Xero is connected, the journal is marked ready for Xero hand-off. Adding the journal does not post it automatically, so the accounting team can review it before posting.

## Lock the period

After reviewer sign-off, choose **Lock period** and record a short control note. Locking protects transactions dated inside the period from ordinary changes.

If an agreed late change is made to a locked period, InvestSync records the change and its reason in the **Late-change register**. The reviewer can then confirm whether the change should be accepted or reversed.

Only an organisation owner or administrator can unlock a period. Always record why a lock is being removed.

## Export the evidence binder

Choose **Export evidence binder** to download a record of the close. The export includes:

* The readiness checks and their status at the time of export.
* Preparer and reviewer sign-offs.
* Adjusting journals.
* An index of linked supporting documents.
* The late-change register.

The document index points back to the supporting records in InvestSync. Access to those documents still follows the organisation’s normal permissions.
