Overview

Connect Microsoft when your organisation wants to use SharePoint for document control or Microsoft calendars for investment news reminders. This guide focuses on document storage. Calendar reminders are managed from Settings → Integrations → Microsoft → Calendar reminders.

Before you start

Confirm who owns the Microsoft connection and which SharePoint site, library, and folder your organisation wants to use for investment documents.

Basic and advanced use

  • Basic use: keep InvestSync as the main document workspace and store a SharePoint backup copy.
  • Advanced use: use SharePoint as the main document store, manage access, and move documents between storage approaches.

Storage options

InvestSync supports two SharePoint approaches:
  • InvestSync storage with SharePoint backup: documents open from InvestSync, and SharePoint receives a copy for your organisation’s records.
  • SharePoint as main storage: accepted documents are stored in SharePoint, and InvestSync records point to those files.
You can manage the overall document position from Settings → Documents.

When to use SharePoint backup

Use backup mode when you want:
  • InvestSync document links to keep working as the default.
  • A SharePoint copy for internal filing.
  • A simple Microsoft 365 archive without changing the day-to-day document workflow.
  • A lower-change setup for teams that are not ready to make SharePoint the main document store.
Existing SharePoint backup copies are left in SharePoint if you later turn backup off.

When to use SharePoint as main storage

Use SharePoint as the main store when your organisation wants SharePoint to control long-term document files. This is useful when your team relies on:
  • SharePoint permissions.
  • Microsoft 365 audit activity.
  • Version history.
  • Document library columns and filtering.
  • Direct document visibility in a selected site, library, and folder.
If SharePoint is the main store, your organisation controls the files. If files are moved, deleted, or access is removed in SharePoint, InvestSync may not be able to open them.

Set up SharePoint document storage

  1. Go to Settings → Integrations → Microsoft.
  2. Connect or reconnect Microsoft.
  3. Choose Document storage.
  4. Select InvestSync storage with SharePoint backup or SharePoint as main storage.
  5. Choose a SharePoint site.
  6. Choose or create a document library.
  7. Choose or create a folder.
  8. Decide how SharePoint access should be handled for current and future members.
  9. Confirm that your organisation controls SharePoint access.
  10. Save the setup.
If SharePoint columns are offered, add them so files are easier to filter and can link back to their InvestSync context.

Moving documents

When you change storage approach, documents are moved in small batches. Available actions include:
  • Convert InvestSync-stored documents to SharePoint.
  • Return SharePoint-backed documents to InvestSync storage.
  • Leave SharePoint files in place when returning to InvestSync.
  • Delete SharePoint files after restore only when your organisation deliberately chooses that option.

Calendar reminders

Microsoft calendar reminders work like Google reminders:
  • Manual: add reminders from individual news items.
  • Automatic: create reminders for news with an action date or expected date, for people who have opted in.
Each team member chooses their own reminder mode.

Good practice

  • Use a dedicated SharePoint site, library, or folder for InvestSync documents.
  • Review SharePoint access whenever InvestSync membership changes.
  • Prefer backup mode if your team wants a SharePoint copy but does not want SharePoint to control document availability.
  • Prefer main storage when SharePoint is already your formal document record.
